Automate appointment confirmation calls — and record the outcome.
Truvoca calls from your approved appointment list, follows the confirmation rules defined for the workflow, captures the response, and passes the outcome into the connected process.
Your team decides which appointments enter the workflow, what the agent may say, which responses matter, and when a person should follow up.

A small call with an important result
A confirmation is useful only when the answer reaches the workflow.
The phone conversation is not the final output. The practice still needs to know whether the appointment stands and which cases require attention. If the result lives in a note, a separate call log, or someone's memory, the confirmation process remains partly manual.
Truvoca treats the recorded outcome as part of the job. The call and the next step are designed together.
How the workflow runs
Five steps from appointment context to call outcome.
The exact source, fields, and actions are confirmed during implementation. The operating model stays consistent:
-
Receive approved appointment context from the source process.
-
Place the outbound call under the customer's calling and communication rules.
-
Follow the approved confirmation conversation and stay within its boundaries.
-
Classify the response using the outcome model defined for the workflow.
-
Pass the result into the connected process or mark the case for the agreed team follow-up.
Define what each answer means
Turn responses into clear, reviewable outcomes.
Before launch, your team defines the responses the workflow should recognize and what each one should trigger. A practical model may include the following categories, but the public page should use only the set validated for the deployed workflow.
- Confirmed The person gives a clear confirmation.
- Declined The person says the appointment will not be kept.
- Needs help The answer includes a question or request outside the confirmation task.
- No clear response The call does not produce a reliable decision.
- Follow-up required The agreed rules send the case to the team.
The result belongs in the system your team uses
Connect the confirmation outcome to the next operational step.
Truvoca can connect with the systems your appointment workflow requires through a custom setup. During implementation, we document where appointment context comes from, which information the agent may use, what outcome should be returned, which permissions are required, and what happens if the connection fails.
Until the exact connector and fields are verified, the public claim stays at the workflow level: Truvoca passes the agreed confirmation outcome into the connected process.
Confirmation has a narrow job
Keep unclear and sensitive requests out of the confirmation path.
A person may ask to move the appointment, explain a medical concern, say the number is wrong, raise an urgent issue, or give an answer that does not fit the expected choices. Those cases should not be forced into a confirmation result.
The implementation defines stop conditions, approved caller wording, and the real route for team follow-up. Rescheduling remains a separate workflow until two-way availability and system updates are proven.
- Wrong person or wrong number
- Rescheduling or cancellation details outside the approved scope
- Sensitive or clinical questions
- Urgent requests
- Ambiguous or contradictory answers
- Connection or data errors
Rules belong to the real use case
Configure communication rules before the first production call.
The customer and its legal or operations owners define the permitted calling purpose, recipient list, timing, caller identity, AI or artificial-voice disclosure, recording behavior, voicemail content, retry rules, suppression, and opt-out handling for the specific workflow and jurisdiction.
Truvoca configuration can enforce approved rules, but it does not turn a workflow into a universal compliance guarantee. Sensitive information should be limited to what the call actually needs.
Inspect the workflow, not a generic voice demo
See the call and the recorded outcome together.
A useful demo starts with an approved example appointment, runs the confirmation conversation, shows how a response is classified, and follows the result into the connected process. Where customer material is used, it must be consented, anonymized, or redacted as required.
The demo should also include an exception or failure case. A workflow is easier to trust when the stopping point is as clear as the successful path.
- Approved source context
- Confirmation conversation
- Outcome classification
- Connected next step
- Redacted or consented proof
- At least one exception or failure path
Best fit
Use confirmation automation where the decision is clear and the owner is named.
This workflow is a strong fit when appointments come from a reliable source, the confirmation question is narrow, outcomes are defined, the next action has an owner, and staff can handle exceptions.
It is not ready when appointment data is inconsistent, the call depends on clinical judgment, the system action is unclear, or the team has not agreed on consent, timing, voicemail, retry, and escalation rules.

FAQ
FAQ
Which appointment outcomes can Truvoca record?
The outcome set is defined for each workflow. It may include confirmed, declined, no clear response, or team follow-up, but the final public list should match the categories tested in the connected process.
Does Truvoca update our scheduling system?
Truvoca can connect with the system your workflow requires through a custom setup. We verify the source record, permissions, fields, result, error behavior, and reconciliation before naming a specific write-back as available.
Can a patient or customer reschedule during the call?
Not as part of the confirmation claim. A request can follow the approved team path, but completed rescheduling requires verified availability, rules, and a two-way system change. That capability remains a separate gated workflow.
What happens when no one answers?
No-answer behavior must be defined for the deployment, including whether another attempt is allowed, when it may occur, when the process stops, and whether the team receives a task. We do not publish a universal retry schedule.
Can the agent leave voicemail?
Voicemail should be described only after detection, message content, privacy, consent, confidential-communication preferences, opt-out, and retry behavior are reviewed and tested. It is not presented as a default capability on this page.
How are consent and calling times handled?
The customer and its legal or operations owners define the permitted purpose, recipients, timing, disclosures, suppression, recording, and opt-out rules for the use and jurisdiction. Truvoca is configured around those approved rules without offering a blanket legal guarantee.
When is the call handed to staff?
The workflow defines which responses or topics require team follow-up and the real destination for those cases. We name a transfer, callback task, or notification only after that mechanism and the context delivered with it have been tested.
What information is used during the call?
Only the information required for the approved confirmation task should be available to the agent. The exact fields, access, recording or transcript behavior, retention, and deletion are documented during technical, security, and legal review.
